Online session and parental consent

This form must be completed by the parent or guardian before any online sessions take place. It confirms that you understand and agree to the arrangements and expectations for online tuition as set out in the Safeguarding & Child Protection Policy and the Communications Policy.

Platform and technical arrangements

Platform and device

Agreed video platform (e.g. Zoom, Google Meet), the device your child will use (e.g. laptop, tablet), and the email address that should receive session links if different from above.

Technical requirements

The student has access to a suitable device with a working camera and microphone.

The student has a reliable internet connection.

The agreed platform is installed and accessible on the student’s device.

The student has tested the platform and is able to join sessions without difficulty. (If not, please contact the Tutor before the first session.)

Please confirm the following technical requirements are in place.

What you are agreeing to

Important: Online sessions carry the same safeguarding requirements as face-to-face sessions. Please read the following carefully and tick each statement to confirm that you understand and agree.

Environment and parental presence

My child will join sessions from a common area of the home (e.g. living room, kitchen, or study) — not from a bedroom or other private space.

I (or another responsible adult) will be within earshot of the session at all times, even if not in the same room.

I understand that the Tutor may ask my child to move to a different location if the current setting appears unsuitable or unsafe.

I will ensure that my child is visible on camera throughout the session and that the camera is positioned to show only the student, not other members of the household unless incidentally.

I will take reasonable steps to ensure that other children (e.g. siblings) do not enter the session frame or disrupt the session.

I understand that if an unknown adult appears on screen during a session and the Tutor has welfare concerns, she may end the session and contact me and/or relevant authorities.

Recording and privacy

I understand that sessions will NOT be recorded by the Tutor without my prior written consent.

I confirm that I will NOT record sessions (by any means, including screen recording, audio recording, or a secondary device) without the Tutor’s prior written consent.

I confirm that my child will NOT record sessions without the Tutor’s prior written consent.

I understand that the in-session chat function is for educational purposes only and may be retained by the Tutor as a session record.

If you wish to request permission to record a session for a specific reason, please contact Kim in advance by email.

Communication and direct student contact

I understand that the Tutor will not contact my child directly outside of live sessions (by email, text, social media, or any other channel).

I understand that session links, homework, and all written communications will be sent to me as the parent/guardian.

I will not encourage or permit my child to contact the Tutor directly outside of sessions.

I understand that if my child contacts the Tutor directly, the Tutor will notify me of this contact and its content.

(Optional, students aged 14 and over) I consent to my child having access to a shared document tool (e.g. Google Docs) agreed with the Tutor, through which homework may be set and submitted. I confirm that I also have access to this shared document and will review its contents regularly.

Online safety

Parental controls are enabled on the device(s) my child uses for online sessions.

I am aware of the platforms and apps my child uses regularly.

I understand that if the Tutor observes or becomes aware of any online safety concern during a session, she will follow the procedures in the Safeguarding & Child Protection Policy, which may include contacting relevant authorities.

I have read and understood the online safety guidance in the Safeguarding & Child Protection Policy (Sections 6 and 11).

I have read and understood this form in full, I agree to the arrangements above, I will tell Kim promptly if anything changes, and I understand that not keeping to these arrangements may mean online sessions are paused or ended. The policies referred to are the Safeguarding & Child Protection Policy and the Communications Policy.
